End of the Year Organization

Here are some tips to help you organize your business and keep it organized for the new year.

ARCHIVE YOUR EMAILS: Be honest, how many unread emails do you have? Are you ever going to read those? If you answered yes, I hope you do! If not, get rid of them. Archive them into a folder. Mark them all as read. Delete them all if you need to!

One way to keep your main inbox empty and all your emails organized is to create folders and subfolders for your emails. For example, create and folder labeled “Client Emails” and then a subfolder under that for each specific client. Other examples are: a folder for Bills and Receipts, a folder for Subscribed Emails, etc.

ORGANIZE YOUR FILING SYSTEM: For some reason, our digital files are the most unorganized. There’s no real, easy way to find documents unless you just know where it’s at or if you search for it hoping it’s labeled correctly.

Make all your files easy to find by labeling appropriately. I personally use the following format: YY.DD.MM – Document Label. This helps me keep a timeline view of when each document was created and know exactly what it is.

Archive you unused folders and files. You can create a new folder labeled YYYY – Archive and move all your unused files there or back them up into a hard drive. (Also, don’t forget to label appropriately in your hard drive.)

Create new folders for over saturated folders. If you have a general folder called “Marketing” it’s a good idea to create subfolders for each platform you’re marketing on to make it easier to find specific files.

REVIEW YOUR WORKFLOWS: I’m sure you’re mentally aware of the steps you take to get certain work done. It’s a great idea to put that on paper. This way, when it’s time to train someone you don’t miss anything and they have something to refer back to.

Project management software like @trello helps with creating workflows for particular projects or departments. Use it for tasks checklists, due dates, and to help you prepare for upcoming meetings or events.

REVIST YOUR GOALS: There’s really no better way to get motivated for the new year without revisiting last year’s goals and how far you’ve come since. Check off what you’ve accomplished and set new goals!
